[How-To] Add Contact from an Email in Outlook

Often many people email me asking for simple stuff. This post is motivated from one such email. Usually people follow a cumbersome process to add contacts to their outlook contact list, instead they can just follow a simple process and them to their list while being at their inbox. This post describes that simple process.

If you are looking at adding a contact from an email into your Outlook Contacts, follow the steps below.

1.) Open the email message in Outlook from which you wish to add the contact in your Outlook Contacts.

2.) Once the email message is open, right click on the name of the contact you wish to add to your Outlook Contacts.

3.) Select Add to Outlook Contacts.

4.) Fill out necessary details. Save and Close.

[How-To] Missed Outlook Attachment,get warned before its too late

Gmail labs has an interesting feature which warns you if you miss to attach an attachment when sending the mail. A similar feature can be achieved in Microsoft Outlook as well, using Visual Basic scripting. 

For those of you who wish to achieve the same in Outlook, here is the step by step process.

1.) Ensure that Macros are enabled for your Microsoft Office Outlook. Macros don’t work with Microsoft Outlook Express, therefore this setup cannot be achieved with Microsoft Outlook Express.

2.) Ensure that your security level is set to Medium. You can set the security level by clicking on Tools –> Macro –> Security. Set the desired level to Medium.

3.) Traverse through Tools –> Macro –> Visual Basic Editor ( Or press ALT + F11)

4.) Expand Project 1 by clicking on the + sign.

5.) Expand Microsoft Office Outlook Objects.

6.) Double click ThisOutlookSession.

7.) Copy paste the following code.

8.) The above code looks for the term “attach” ( without quotes) in the message body. If you send mails in your local language which is other than English, replace the word “attach” to the word you would be interested in searching for. This will make the code look for that particular word.

9.) Once the code is pasted, click on Save and then Exit.

10.) From now on, if you create any mail with Attach in the mail body and try sending it without attaching any file, you will get an alert.

[How-To] Recover lost Outlook PST Password

If you happen to be one of those who is scratching his/her head trying to remember the password of your PST folder in Outlook, this post should bring instant relief to you.

PstPassword is a small utility that recover lost password of Outlook .PST (Personal Folders) file. The process of running this utility is simple and you dont even need to install it onto your computer. This utility can recover the PST passwords of Outlook 97, Outlook 2000, Outlook XP, Outlook 2003, and Outlook 2007. You don’t have to install MS-Outlook in order to use this utility. You only need the original PST file that you locked with a password.

Earlier, in one of my posts i had also mentioned the process of recovering deleted mails in Microsoft Outlook. This post is another case wherein the user has lost the password of the PST folder and is therefore, not able to open up the personal folder under Outlook.

PstPassword recovery tool can help you recover lost password

To open up the password protected pst folder, follow the steps below

1.) Download PstPassword

2.) Run the application and select the PST file for which you wish to recover the password.

3.) After you run PstPassword, the main window displays the list of all PST files of the current logged on user (Under Documents and Settings\User Name\Local Settings\Application Data\Microsoft\Outlook). For each password-protected PST file, PstPassword provide 3 alternative passwords that will open the PST file. If the PST is not protected by a password, the 3 password columns remain empty, and the CRC value column is 0x00000000.

4.) If you want to recover a password of PST file that doesn’t appear in the default list, you can press F7 and select the desired PST file, or simply drag the PST file from Explorer window into the main window of PstPassword.

5.) If from some reason PstPassword fails to read a PST file, an error message is displayed under the error column, and the item is painted with pink color.

How-To: Display two time zones in Microsoft Outlook

Often, we work with two time zones in mind. The meetings or the calls that we subscribe to, are fixed based on the time zones of the clients/vendors or for that matter, the prospective attendants.

Mahesh Moorthy writes in his mail “I usually work with my German counterparts who sit in another part of the world which has a different time zone. While scheduling meetings using my Outlook calendar, I fix up meetings after calculating the time differences. Is there a tool or some way out to get rid of this problem of mine? “

Mahesh, the answer to your problem exists in Microsoft Outlook itself. This problem can easily be solved by making your Microsoft Outlook calendar show two time zones as shown in the picture below.
2 TimeZone in Outlook

This post discusses the process of displaying two time zones in Microsoft Outlook.

The steps mentioned below need to be followed in order to setup two time zone

1.) In your Microsoft Outlook client, click on Tools menu and then on Options.

2.) Click Calendar Options.

3.) Click on Time Zone.

4.) Select the Show an additional time zone check box.

5.) In the Label box, type a description. Usually, this is filled in with the name of the place.

6.) In the Time zone box, list the time zone you want to add.

7.) If you want your computer clock to automatically adjust for daylight saving time changes, select the Adjust for daylight saving time check box. This option is available only in time zones that use daylight saving time (DST).

In future, if you ever wish to clear the second time zone and wish to have only your parent time zone being displayed;  Clear the Show an additional time zone check box.

When you have to enter a date in Microsoft Outlook (e.g. when creating a new appointment), you don’t have to use the little calendar or enter an exact date. You can enter “tomorrow”, “next week”, “next Tuesday”, “in 2 days” and so forth. ( enter without quotes)
